These records consist of the files created by the Office of Exhibitions at the National Portrait Gallery during the development of the exhibition, "The First Federal Congress, 1789-1791," which was shown at NPG from March 2 to July 23, 1989.

The records include lender files and lender sheets; general correspondence and memoranda; drafts of the exhibition script and labels; copies of the exhibition proposal; press clippings and publicity; and photographs of the artwork. The files also contain information on the exhibition design and layout, the exhibition budget, and the development of the catalogue and brochure.

This accession consists of records which document the work of the Office of Exhibitions on exhibitions that were mounted by the National Portrait Gallery (NPG) from 1980 to 1995. Major exhibitions undertaken by the NPG in this period, and documented in these records, include "Benjamin West and His American Students" (1980-1981); "Charles Willson Peale and His World" (1982-1983); "American Colonial Portraits: 1700-1776" (1987-1988); "On the Air: Pioneers of American Broadcasting" (1988-1989); and "Old Hickory: A Life Sketch of Andrew Jackson" (1990-1991).

The exhibition records consist largely of lender files, which contain correspondence with lenders, loan agreements, and object photographs. Other exhibition files include scripts, label copy, travel schedules, shipping and insurance information, object conservation information, and catalog and brochure information.

The records also include a series of files on outgoing loans from the NPG permanent collection, dating from 1992 to 1996.

Records in this record unit document the exhibition research and activities of the National Portrait Gallery and its Office of Exhibitions. Particularly well represented are exhibitions mounted between 1974 and 1976, with materials documenting research and publications on numerous artists, paintings, prints, broadsides, books, documents and letters. A large amount of correspondence reflects contacts with artists, donors, and national and international art institutions and galleries, and the public reactions to the exhibitions.

The records provide documentation for the creation and preparation of exhibitions during two important periods in the United States history: exhibitions of African American art during the period immediately following the civil rights demonstrations of the 1960s, and exhibitions with themes and celebratory messages for the observance of the Bicentennial of the American Revolution in 1976. The records also document both the Gallery's history and functions of different departments.

Included in the records are correspondence between curators, artists, museum specialists and professionals, including art organizations; correspondence and memoranda with other Smithsonian curators; local galleries and studios; research notes on artists and their work; loan agreements; condition reports; exhibition reports and scripts; checklists; schedules and catalogs; architectural designs and plans; exhibition floor plans and charts; photographs, prints and color slides of exhibition objects and artists; biographies of artists; press releases; exhibition reviews; magazine and journal articles; excerpts from books; lecture notes and programs and schedules; and committee minutes. Included are administrative records, such as budgetary estimates and projections, travel and shipping vouchers and insurance policy materials.

The records are grouped by exhibition; and each exhibition constitutes a series. Users should however consult the current edition of the Guide to the Smithsonian Archives in order to identify additional related records in other record units for the National Portrait Gallery.

The Smithsonian Institution Archives cannot provide any information on art works given or loaned anonymously. Researchers who wish to obtain permission to see such information will be referred to the Office of the Registrar, National Portrait Gallery.
Historical Note:
Before the Office of Exhibitions was created in 1974, individual curators in the National Portrait Gallery were responsible for organizing the Gallery's exhibitions. Upon the creation of the Office, Beverly J. Cox was named Curator of Exhibitions and became head of the office.

The Office was responsible for the design, preparation, installation, maintenance and dismantling of exhibitions. The Office continues to carry out these responsibilities, including negotiating and administering exhibition loans and coordinating plans for changing and permanent exhibition galleries.

These records document two exhibitions held at the National Portrait Gallery: "In the Minds and Hearts of the People: Prologue to the American Revolution, 1760-1774," on view from June 14 through November 17, 1974; and "To Color America: Portraits by Winold Reiss," which was on view from October 27, 1989 through April 1, 1990. In the past the Office of Exhibitions has gathered the records of several other NPG offices to assemble the documentation for an exhibition, and has transferred them together to the Archives. Although most of the records in this accession were created by the Office of Exhibitions, the documentation of the Reiss exhibition contains files created by the Office of the Registrar, Office of the Director and the Office of Public Affairs. SIA and the Office of Exhibitions have agreed that in any future transfers of exhibition files, the records of the different offices will be transferred and accessioned separately.

The Reiss show is thoroughly documented through the records from the four offices, which contain files on the development of funding proposals, scripts, labels, checklists, the exhibition catalogue, and publicity, as well as administrative and curatorial correspondence and memoranda. The records also include lender files which contain loan agreements, correspondence, object photographs, reproduction permission requests, and shipping information.The records of the "Minds and Hearts" exhibition consist mostly of lender files, but include some information on the catalogue and labels. This accession also consists of one box of administrative files from the Office of Exhibitions, which contains correspondence and memoranda files, budget plans, and files on interns, volunteers, and contractors.

Permanently restricted materials were removed from boxes 1-7 and segregated in box nine. Related materials can be found in Accession 99-094.

Descriptive Entry:
These records pertain to eight exhibitions which the Office of Exhibitions organized between 1983 and 1991. The bulk of the records includes correspondence between the National Portrait Gallery (NPG) Director, Alan Fern, and various national and international museum institutions, donors, art galleries, archives, various municipal and state historical societies in the United States, universities, individual artists, private citizens both within the United States and overseas, various United States government departments, agencies and other foreign governments.

Additional correspondence, memoranda and notes are between Beverly J. Cox, Curator of Exhibitions, and other bureaus and offices in the NPG and the Smithsonian Institution, guest curators, various art history scholars and experts, including art collectors and venders. The memoranda, notes and correspondence concern such issues as borrowing art objects for the exhibitions, arrangements for the shipment of and insurance for the objects, exhibition designers and constructors, printers of the labels and the catalog, colloquium participants, food services for the opening ceremonies and other special occasions, publicity strategies and activities, security and storage of the objects and closing of the exhibitions.

Other records include loan agreements, shipping and insurance vouchers; mailing and exhibition labels; lists of portraits on loan and those owned by the NPG; exhibition scripts; lists of entries; research notes; journal articles; newspaper clippings; excerpts from published and unpublished monographs and dissertations; lists of guests; drafts of press releases; pamphlets and brochures; cards and flyers from various venders; reviews of the exhibitions; grant proposals; catalog manuscripts; drawings, sketches and architectural drawings for the exhibition halls; objects condition reports; color slides and prints; black and white photographs; and negatives.

The included exhibitions are "Adventurous Pursuits: Americans and the China Trade, 1784-1844;" "Davy Crockett: Gentleman from the Cane;" "Gaston Lachaise Portrait Sculpture;" "John Frazee Sculptor;" "Masters from Versailles: Three Centuries of French Portraiture;" "Mr. Sully, Portrait Painter: The Works of Thomas Sully, 1783-1872;" "Portraits by George Bellows;" and "Portraits from the American Academy and Institute of Arts Letters."
